Know what the official deadline changes—and what it does not
UAE Ministerial Decision No. 66 of 2026 says businesses with revenue of at least AED 50 million must appoint an accredited service provider by 30 October 2026 and implement the system by 1 January 2027. The rule applies to qualifying businesses; it does not automatically make every rental receipt a valid business claim. Travellers should still collect complete supplier and trip evidence.
Create one folder for the whole journey
Ask for the tax invoice or receipt in the legal company name and check supplier details, invoice number and date, VAT information, vehicle or booking reference, rental period, currency and totals. Save the final contract plus separate fuel, charging, toll and parking records. Name files by date and cost type, and keep the original email or portal download rather than only a cropped screenshot.
Reconcile before the vehicle is returned
Compare the card authorisation with the final charge, record any deposit release, and resolve mileage, fuel or damage adjustments while evidence is fresh. Link each cost to the traveller, business purpose and route, but remove passport or payment data the expense team does not need.
